Adopted by the Board of Directors of Northern Force Fastpitch, effective June 30, 2026. This document forms part of the Northern Force Fastpitch Safe Sport Program and applies to all participants. It is governed by, and shall be interpreted in accordance with, the laws of the Province of Ontario and the applicable laws of Canada. If any provision is found to be invalid or unenforceable, the remaining provisions continue in full force.

1Purpose

This policy explains how Northern Force Fastpitch handles personal information, consistent with applicable Canadian privacy legislation, including the Personal Information Protection and Electronic Documents Act (PIPEDA).

2Information we collect

We collect only the personal information reasonably necessary for our activities, such as names, contact details, dates of birth, emergency contacts, medical and concussion information relevant to safe participation, screening results, and photographs/video for legitimate Association purposes.

3Consent and use

We collect, use, and disclose personal information with consent, and only for the purposes identified at collection: team administration, communication, safety and screening, and compliance with our policies and the requirements of our sanctioning body and insurer.

4Disclosure

We do not sell personal information. We disclose it only where necessary to our sanctioning body and insurer (the National Softball Association, NSA), or to authorities as required by law, or with consent.

5Safeguards and retention

Personal information is stored securely, with access limited to those who need it. Screening records are treated as strictly confidential. Information is retained only as long as necessary for the purpose collected or as required by law, and is then securely destroyed.

6Access and questions

Individuals may request access to, or correction of, their personal information by contacting the Safe Sport Coordinator. Requests are handled in accordance with applicable law.
